Reserving a Meeting Room in CCI as a Student
Note: These instructions are only for booking meeting rooms in CCI. Classrooms must be reserved using the Event Request form located at https://drexel.edu/cci/current-students/event-request-form/.
For walk-up reservations, each meeting room has a Joan tablet. These tablets show the current reservations for the room, and if a room is not yet reserved, you can click the "Meet Now" button to reserve the room on the spot. You will be asked to select how long to book the room for.
Once you've reserved the room, the room will show as Booked on the Joan. This will be reflected in the online calendar as well.
To reserve a meeting room in advance, you can schedule the meeting rooms through Outlook. The available meeting rooms are 902, 903, 1005, 1024, 1116, 1130, 1170, and 1193. Please note that room 1005 and room 1024 are only accessible to those with card swipe access to the advising suite, therefore students should only book these rooms if they are working with a Staff or Faculty member who can grant them access to the advising suite. Neither the CCI Commons nor the front desk staff can grant you access to the advising suite.
When booking a room, simply add the room you are trying to book as an attendee to your event. The easiest way to do this is to just lookup the room number and then select the email associated with the room, but it general the email address of the rooms will be CCIRoomXXXX@drexel.edu.
When you add the room as an attendee, the location field will auto-populate with the room you selected.
After you click "Send" to create the invite for your reservation, if it does not overlap with any prior reservations, you will get an email saying that the room accepted your invitation. This email confirms your room reservation.
Your meeting will now show up on the Joan tablets outside of the room at the time you booked and it will appear on the timetable before your meeting begins.
You can always cancel your reservation by cancelling the event in Outlook. This will delete the reservation you created and free up the timeslot for someone else to use.
